The Administrative Assistant III performs complex administrative and clerical duties for Vice Presidents, including collecting, consolidating, and distributing department statistical data. Prepare documents for presentation, maintain office files including policies and procedures. Assist with department budget preparation, staffing reports, and operational duties like meeting scheduling.

Provide executive leader support by managing schedules, keeping leaders on track with reminders, and organizing workflow systems for filing, mail, and emails. Coordinate complex scheduling, meetings with staff, physicians, and associations, while managing calendars to avoid double bookings. Keep office supplied, handle procurement, and ensure professional representation.

Support special projects by tracking metrics, communicating timelines, and distributing progress updates. Attend committee meetings, take minutes, and respond to requests with excellent organization. Independently perform job functions while maintaining confidential information and complying with all policies.

Requirements

  • High School Diploma required
  • Bachelor's degree preferred
  • Ability to independently perform job functions
  • Maintain information of a confidential nature
  • Experience collecting, consolidating, and distributing department statistical data
  • Proficiency in preparing documents for presentation and meeting materials
  • Skills in assisting with department budget preparation and staffing reports
  • Capable of managing complex scheduling and professional representation

Responsibilities

  • Provide executive leader (VP) support including schedules, job duties, reminders about upcoming events
  • Efficiently manage, organize, plan, schedule, coordinate and maintain information for the leader
  • Assist with developing presentations and meeting materials
  • Manage calendars and complex scheduling arrangements involving multiple parties
  • Coordinate meetings with administrative staff, physicians and outside associations
  • Track metrics and measurements defined by committee and cabinet members
  • Attend and take minutes during committee meetings
  • Maintain all office files including policy and procedures
