Under supervision, the Senior Medical Secretary is responsible for assisting physicians with patient care, administrative, and organizational tasks. These responsibilities relate directly to patient flow and the conveyance of a positive image of the physician’s practice. The role supports operations in Human Capital Administration at Weill Cornell Medicine.

Day-to-day duties include managing front-end revenue cycle processes such as patient check-in, check-out, and time-of-service payment collection. Staff schedule, confirm, re-schedule, and cancel appointments using computerized systems like EPIC. They also coordinate follow-up care including lab tests and prescription requests.

In a Monday-Friday, 35-hour weekly schedule, the position involves standard office work in the Upper East Side clinical environment. Responsibilities extend to maintaining physicians’ clinical, surgical, research, and academic schedules. Additional tasks cover preparing charges for billing and identifying delinquent accounts.

The role offers involvement in physicians’ research activities, lecture preparation, and travel arrangements for conferences. Staff update CVs, handle correspondence, and may chaperone patient exams. This contributes to a diverse workforce embracing global backgrounds at Cornell University.

Requirements

  • High School Diploma
  • Approximately 2 or more years of prior related experience
  • Previous experience using computerized appointment scheduling systems (EPIC preferred)
  • Experience with electronic Medical Record (eMR) system (ideally EPIC-Care)
  • Knowledge of CPT, ICD-9, and ICD-10 coding
  • Working knowledge of third party payor reimbursement - Medicare, Medicaid, Managed Care and commercial insurance

Responsibilities

  • Manage front-end revenue cycle processes, including check-in/check-out of patients and collection/reconciliation of time-of-service payments
  • Ensure patients provide pre-visit documentation, pre-certifications, authorizations for medical services, or referrals if required
  • Schedule, confirm, re-schedule, and cancel appointments for new and existing patients using the scheduling application
  • Coordinate follow-up care including scheduling of laboratory/diagnostic tests and prescription requests
  • Maintain physicians’ administrative, research, academic, and clinical/surgical schedules
  • Prepare charges and payments for submission to the billing office
  • Identify delinquent accounts for collection activities and review status with physician
  • Assist with physicians’ research activities, preparation of lectures, presentations, and travel arrangements
