About this role

The Ward Clerk functions under the direction and supervision of the supervisor/registered nurse to perform assigned general clerical duties, including preparing, compiling, and maintaining records on the nursing unit with proficiency and accuracy.

Assigned to receive and transmit communication, process physician’s orders, complete required documents for patient care procedures, maintain patient census report, file reports of diagnostic/therapeutic services, and manage stock inventory in the ER.

Acts as receptionist by directing visitors to patient rooms or departments, ensures phone is attended at all times with courteous answers and proper transfers, keeps nurses station tidy, operates fax machine, radio, and pager system.

Supports staff by transcribing orders legibly after scanning for stat orders, notifying for call lights over 5 minutes or monitor alarms, placing lab/X-ray reports timely, notifying lab for draws, preparing transfer copies, maintaining call lists, and adhering to attendance policies while attending meetings.

Requirements

  • Demonstrates proficiency and accuracy in clerical duties including record maintenance
  • Consistently and legibly transcribes physician’s orders subject to staff nurse review
  • Utilizes telephone system correctly with established procedures and etiquette
  • Reports for scheduled shift on time, in proper uniform, and adheres to attendance/tardiness policies 100%
  • Attends and participates in department meetings and stays informed via email
  • Wears I.D. badge visibly at all times on hospital property
  • Seeks supervisor approval for overtime and time off scheduling
  • Performs all duties as assigned under supervision

Responsibilities

  • Transcribe physician’s orders from patient charts to nursing records and medication sheets legibly, scanning for stat orders first
  • Answer telephone courteously, transfer calls appropriately, take messages, and identify self using established phone procedures
  • Act as receptionist, directing visitors to patient rooms or hospital departments
  • Keep nurses station tidy and organized
  • Fax information from nurse’s station and place material in appropriate charts or departments
  • Operate radio and pager system via radio and phone
  • Notify nurse for call lights on longer than 5 minutes and check monitor alarms for leads or battery issues
  • Place lab work and X-ray reports on patient charts timely after nurse review
